When you place an order, submit an inquiry, or make a purchase, we process, in particular, your first and last name, billing and shipping addresses, email address, phone number, details about the item ordered, price, payment information, shipping details, and the content of our correspondence.

If you subscribe to our newsletter or give us your consent to receive marketing communications, we also process the data necessary to send you these communications.

Cookies and Similar Technologies

Cookies and similar technologies may be used on our website. Some cookies are necessary for the website to function properly, such as for security, loading pages, or completing an order.

We use analytical, marketing, and other non-technical cookies only to the extent that you grant us your consent via the cookie banner or website settings. You can change or withdraw your consent at any time.

To operate and analyze the website, we may use, in particular, Wix and Google Analytics, or other similar tools, if they are actively deployed on the website.

For what purposes do we use personal data?

We process personal data primarily for the following purposes:

  • order processing, conclusion and performance of a contract
  • production, sale, packaging, and delivery of the ordered item
  • Customer Communication and Customer Support
  • Issuing tax documents and maintaining accounting records
  • handling any complaints, contract cancellations, or other customer requests
  • protection of our rights and legal claims
  • Website Security and Prevention of Misuse
  • Traffic Analysis and Website Improvement
  • sending marketing communications, provided we have your consent or another legal basis to do so

Legal Basis for Processing

We process personal data based on the following legal grounds:

  • performance of the contract or implementation of measures prior to its conclusion
  • compliance with legal obligations, particularly in the areas of accounting and taxes
  • our legitimate interest, particularly in protecting rights, securing the website, recording communications, and resolving any claims
  • your consent, particularly regarding marketing communications and non-technical cookies

If the processing is based on consent, you may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of the processing carried out prior to its withdrawal.

To whom may personal data be disclosed

We may share personal data, to the extent necessary, with our contractual partners who assist us with website operations, order fulfillment, and the provision of services.

These may include, in particular, providers of web platforms and technical support, carriers, payment service providers, accounting and tax advisors, legal advisors, providers of analytical and marketing tools, and public authorities, if we are required to do so by law.

We do not share personal data with third parties for their own marketing purposes without your consent.

Transfer of Data Outside Europe

Some providers of technical, analytical, or marketing services may also process personal data outside the European Union or the European Economic Area. In such cases, we ensure that the transfer takes place only if the conditions set forth by law are met, in particular on the basis of an appropriate decision by the European Commission, standard contractual clauses, or another suitable legal mechanism.

How Long We Retain Personal Data

We retain personal data only for as long as is necessary for the purpose for which it was collected.

We retain data related to orders and contracts for the duration of the contractual relationship and thereafter for the period necessary to protect our rights and resolve any potential claims. We retain accounting and tax documents for the period specified by law.

We retain data processed on the basis of consent for the duration of the consent, but no longer than until it is revoked, unless we have another legal basis for continuing to process it.

Changes to This Policy

We may update this policy from time to time, particularly in response to changes in laws and regulations, the services we use, or the operation of our websites. The current version is always available on the glasssoul.eu and glasssoul.cz websites.

Shipping and Payments

Once the order is complete and the full price of the ordered item has been paid, we will begin preparing the item for shipment or, if it is a custom-made item, begin production.

If the item is in stock, we will prepare it for shipment without undue delay and send it to the address selected by the buyer. Delivery times may vary depending on the nature of the item, the packaging method, the carrier’s availability, and the delivery location.

For custom-made products, production begins upon receipt of a binding order and payment of the agreed-upon price, unless otherwise agreed in writing. The usual maximum production time is three months. The exact delivery date may be agreed upon individually, depending on the technical complexity of the specific piece.

A binding order is considered confirmed upon receipt of payment, unless the contracting parties agree otherwise.

Shipping is arranged based on the nature, size, fragility, and value of the specific artwork. The shipping cost will be communicated to the buyer before the order is confirmed or will be listed directly during the ordering process.

In consumer sales, the risk of damage to the item passes to the buyer upon acceptance of the item. If the buyer chooses their own carrier outside of the shipping options we offer, the risk of damage may pass as early as the time the item is handed over to that carrier.

Payment can be made using the method specified in the order or as individually agreed with the customer.

For products manufactured according to the customer’s specifications or customized to meet their personal needs, the consumer may not have the right to cancel the contract without giving a reason, if so provided by law. For other orders, the consumer’s right to cancel the contract is governed by applicable laws and the seller’s terms and conditions.

When you receive your shipment, we recommend that you check that the packaging is intact. If the packaging is visibly damaged, we recommend that you file a damage report with the carrier and contact us without delay.
